Start by standing up a client in minutes, not days. Create the business profile, assign operating accounts, and choose how each stream is guarded: check issuance validation with payee name matching, ACH debit/credit filters, or both. Use the built‑in mapping tool to accept the client’s native ERP or accounting export—no custom interface required. Decide how files move (secure upload, SFTP, or API), set cutoff times, and apply dual‑control for all approvals. Lastly, pick alert channels (email by default, or add SMS, voice, push, or RSS) and who gets notified for exceptions, approvals, and end‑of‑day summaries.

Once live, the daily flow is straightforward. As checks present, the system compares amount, number, date, and payee against the issues list and routes anything that doesn’t align to an exception queue. Approvers get an instant alert, open the queue from desktop or mobile, and choose pay, return, void, or add‑to‑issues with a reason code. Attach supporting notes, tag a suspected fraud, and lock the item to prevent duplicate decisions. For ACH, set company‑ID filters, SEC code rules, and dollar thresholds; unexpected entries trigger immediate review. One action approves a single entry, approves all from a trusted originator, or blocks future attempts. If a client prefers to review posted checks instead of sending issue files, enable the reverse review option: a morning list of presented items appears for mark‑and‑return before cutoff. more

How It’s Used

  • Treasury operations onboards a new business client, maps their ERP check file, and enables dual-control in under an hour.
  • AP uploads a daily issues file; approvers clear check exceptions by cutoff via email or mobile push alerts.
  • A controller sets ACH rules for company IDs and thresholds; unexpected debits trigger immediate review and one-click return.
  • A small client uses reverse review to mark unauthorized checks for return without sending issue files.
  • Month-end, finance exports reconciliation summaries and outstanding check lists directly to the GL.
  • Fraud analysts open a case from an exception item, attach evidence, assign ownership, and track resolution SLAs.
  • During an ERP change, admins remap file layouts in the data utility and validate in sandbox before go-live.
  • IT receives voice/SMS outage alerts, follows a runbook, and restores normal processing without missed cutoffs.
